Terms of Service
Last updated 18 August 2026. These terms govern use of LedgerBuddy by bookkeeping and accounting practices ("you"). Using the service means you accept them.
The service
LedgerBuddy identifies reconciled Xero transactions without attached receipts and, on your instruction, contacts your clients by SMS, email and automated phone call to request the documents, attaching uploads to the relevant Xero transaction. The service executes your standing instructions as a registered agent's tool; it does not provide tax, accounting or financial advice to you or your clients.
Your responsibilities
- You warrant you have an existing professional relationship with, and appropriate consent to contact, every client you enrol, and that contact details you supply are accurate.
- You authorise us to send communications to your clients on your behalf and in your practice's name.
- You remain responsible for reviewing default-coding suggestions and all professional judgements.
- You must keep your login credentials secure and tell us promptly about any unauthorised access.
Fair use, availability and data
The service depends on third-party platforms (Xero, telecommunications carriers, hosting providers); we do not guarantee uninterrupted availability and may schedule maintenance. Your data remains yours; on account closure we will, on request, provide receipt images and audit records before deletion. We may suspend accounts for non-payment, misuse, or conduct that risks the service's compliance obligations.
Liability
To the extent permitted by law (including the Australian Consumer Law, whose consumer guarantees are not excluded), our liability is limited to re-supplying the service or the fees paid in the preceding three months. We are not liable for penalties, lodgement outcomes or professional decisions, which remain matters for you as the responsible practitioner.
