1. About this page
This page is operated by JR Photo and Video Pty Ltd ACN 677 761 787 trading as Ledger Buddy ("we", "us") on behalf of the bookkeeping or accounting practice named on the page ("your practice").
By using this page you agree to these terms. If you do not agree, contact your practice and provide your documents another way.
2. What this page is for
This page lets you send receipts, tax invoices and similar records to your practice. That is all it is for.
3. Your link
Your link allows anyone who possesses it to use this upload page for the associated request. Do not forward it. Links normally expire after 30 days and may be cancelled earlier. Contact your practice if the link is lost, exposed or expired.
4. What you upload
You must not upload anything that:
is not a business record you intend your practice to receive
you do not have the right to provide
contains a tax file number
contains malicious code
We may remove anything uploaded in breach of this clause.
5. What happens to your documents
Documents are screened and made available to your practice for the authorised service. Where document AI is enabled with the required client authority, the complete uploaded receipt image or PDF, including personal and financial information visible in it, is sent to Anthropic with relevant transaction context and account names for extraction and accounting suggestions. AI can make errors. Each accounting action requires individual review and approval; a suggested match does not establish that a receipt belongs to that transaction. Cloudflare hosts application records and uploaded documents; Australia-only storage or processing is not guaranteed. AWS document scanning and backup workloads run in Sydney. HighLevel handles onboarding and enabled SMS/email communications, including contact details, message content and upload links, with overseas processing including the United States. Where enabled, Anthropic receives full documents and context for AI analysis, with overseas processing including the United States. Xero receives authorised accounting data and attachments. Provider subprocessors and support may operate in additional countries; provider location information is available at ledgerbuddy.com.au/providers or from our privacy contact.
6. Automated contact
Automated voice calling is not available in the initial beta. Before any later release, separate identification, recording-consent and opt-out checks must be completed. Where introduced, the assistant must identify itself and the practice, disclose recording and obtain agreement before continuing. Declining a call must leave another way to provide documents.
Reply STOP to an SMS or contact your practice to stop automated reminders and arrange another way to provide records. Messages already handed to a provider may still arrive.
7. This is not advice
Ledger Buddy does not provide tax, BAS, accounting or financial advice or a supervising registered agent. Your practice is responsible for reviewing accounting decisions and arranging registered professional services where required.
8. Availability
We try to keep this page available but we do not promise it will always be available or error-free. If you cannot upload a document, contact your practice.
9. Our responsibility
Nothing in these terms excludes, restricts or modifies any consumer guarantee or other right under the Competition and Consumer Act 2010 (Cth) that cannot lawfully be excluded.
Subject to that, and to the extent permitted by law, we are not liable for loss arising from your use of this page, and where we can limit our liability we limit it to resupplying access to this page.
10. Intellectual property
We own this page and its content. You keep ownership of what you upload.
11. Changes
The current version is available at ledgerbuddy.com.au/portal-terms. Material changes will be communicated to practices.
12. Governing law
These terms are governed by the law of South Australia.
